If you fill in a contact form on the website, complete the Farm Request configurator, or otherwise provide your name and contact details to Odd.Bot B.V., we will use the data you provide to contact you with a response to your question or comment, and to qualify and follow up on the request you submitted.

If you wish to stay up to date on current developments at Odd.Bot B.V., you can let us know via the contact form or by ticking the newsletter checkbox on a form. You can revoke this consent at any time by sending an email to info@odd.bot or via the unsubscribe link at the bottom of every email you receive from us.

As a customer of Odd.Bot B.V., your commercial data and the requisite personal data are stored in Odd.Bot B.V.'s customer database. Commercial and personal data will not be sold to any party outside Odd.Bot B.V., except in the case of, for example, a change in the legal structure or reorganisation of Odd.Bot B.V. Odd.Bot B.V. will actively erase customers' personal data two years after the expiry of any service or purchase agreement that has been concluded.

All commercial and personal data are treated as confidential. Odd.Bot B.V. will exercise due care when digitally storing data and will protect these data by taking the requisite security measures.

Legal basis for processing

We process your personal data on the following legal bases (GDPR Art. 6):

  • Performance of a contract (Art. 6(1)(b)) — when you submit a Farm Request, a demo request or any other inquiry, we process your data to respond to and follow up on that request.
  • Legitimate interest (Art. 6(1)(f)) — to qualify leads, route inquiries internally, and improve our products and services. We have weighed our interests against your rights and offer an opt-out at any time.
  • Consent (Art. 6(1)(a)) — for marketing emails, non-essential cookies, and any processing that goes beyond responding to your direct inquiry. You can withdraw consent at any time.

Recipients and processors

We use a small number of third-party processors to operate our website and sales workflow. A data processing agreement under GDPR Art. 28 is in place with each of them:

  • Make.com — workflow automation that routes Farm Request and contact-form submissions internally.
  • Pipedrive — our CRM, where lead and customer data are stored.
  • MailerLite — email delivery for confirmations and opt-in newsletters.
  • Google Workspace — email handling and internal collaboration.
  • OpenAI — used as a sub-processor of Make.com to qualify and categorise inbound requests.
  • Vercel — hosting of our website and Farm Request configurator, including a short-lived audit log and rate-limit cache.

Automated qualification

We use artificial intelligence (OpenAI, as a sub-processor of Make.com) to qualify your Farm Request and to route it to the right team member. A human colleague always reviews the outcome before any decision is made. No fully automated decision-making within the meaning of GDPR Art. 22 takes place.

Transfers outside the European Union

OpenAI and certain Google Workspace services may transfer data to the United States. These transfers take place under the EU Standard Contractual Clauses (SCCs) and, where applicable, the EU-US Data Privacy Framework, both of which are signed through our processors.

Data retention

  • Pipedrive (CRM): your contact and lead data remain until you request deletion.
  • Local browser storage (Farm Request): your in-progress form data is kept on your own device for up to 90 days, then purged.
  • Technical audit log: a short-lived record of submissions (used to detect abuse and resolve delivery issues) is kept for 30 days.
  • Customer contracts: personal data tied to a service or purchase agreement is actively erased two years after the agreement ends.

Your rights

Under the GDPR (Articles 15 to 21) you have the right to access, rectify, erase, restrict, port and object to the processing of your personal data, and to withdraw consent at any time. Naturally, you can also request to change or erase your personal data. Please send your request to info@odd.bot.

Supervisory authority

We would be pleased to receive any comments you may have about the way in which Odd.Bot B.V. handles your personal data. You also have the right to complain about how we handle your privacy-sensitive data by filing a report with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

General Terms and Conditions

Odd.Bot B.V. applies general terms and conditions. These general terms and conditions will be sent to you upon request and in any case when you receive a quotation from Odd.Bot B.V.

Cookies

You can visit this website anonymously by managing your cookie preferences via the consent panel. Essential cookies (required for the site to function) are set by default; analytics and marketing cookies are only set after you give consent.
